Terms & Conditions

These Terms & Conditions ("Terms") govern every booking made with Impact Grid Group Ltd ("Impact Grid", "we", "us", "our") via impactgridgroup.com or any other means (the "Services"). By submitting a booking request through our Book Us page, you ("Client", "you", "your") agree to be bound by these Terms.

01About Us

Impact Grid Group Ltd is an events photography and videography studio based in Manchester, UK, providing coverage for weddings, corporate events, portrait sessions, and social occasions, as listed on our Services page.

02Bookings

Submitting a request through our Book Us page does not guarantee your date. We aim to review and respond to every request within 24 hours. No payment is taken at the time you submit a request.

A booking is only confirmed, and your date secured, once we have:

• Accepted your request in writing (by email); and
• Received your booking deposit, where applicable, as set out in Section 3.

Until both of the above have happened, your date remains available to other clients.

03Payment

Unless otherwise agreed with you in writing:

• A 50% non-refundable deposit of the total package price is due within 7 days of booking confirmation, to secure your date.
• The remaining balance is due no later than 14 days before your event date.
• For bookings confirmed within 14 days of the event, full payment is due upfront.
• Invoices are sent by email and can be paid by any method stated on the invoice.
• If the balance isn't received by the due date, we reserve the right to treat the booking as cancelled by you (see Section 4) and release the date.

04Cancellations & Rescheduling

By you: if you need to cancel, please tell us in writing as soon as possible. Charges are as follows:

• More than 60 days before the event — loss of deposit only (50%).
• 30–60 days before the event — 75% of the total package price.
• Less than 30 days before the event — 100% of the total package price.

Rescheduling: we'll always try to accommodate a date change. One reschedule is offered free of charge when requested more than 30 days before the original date, subject to availability. Further changes, or requests made with less notice, may incur an admin fee and are subject to availability.

By us: in the rare event we have to cancel (e.g. illness, equipment failure beyond reasonable mitigation), we will, wherever possible, arrange a suitably skilled replacement photographer/videographer at no extra cost to you. If we're unable to do so, you'll receive a full refund of all monies paid. Our liability in this situation is limited to a refund of fees paid — we are not responsible for any other costs you've incurred (e.g. venue, catering, travel).

05Your Responsibilities

To help us deliver the best possible coverage, you agree to:

• Provide accurate event details (date, time, venue, guest count) when booking, and tell us promptly about any changes;
• Obtain any permissions needed for us to film/photograph at your chosen venue — some venues charge their own fee or require advance clearance for external photographers/videographers;
• Let any guests, staff, or other third parties who may appear in photos or video know that a photographer/videographer will be present;
• Ensure we have timely access to the venue, and share any agreed shot list or running order with us in advance.

06Force Majeure

Neither party is liable for delay or failure to perform any obligation under these Terms as a result of events beyond their reasonable control — including severe weather, fire, flood, strikes, illness, pandemic-related restrictions, or venue closure. Where possible, we'll agree an alternative date with you at no extra charge.

07Copyright & Image/Video Use

Impact Grid retains full copyright over all photographs and video footage we capture. Booking with us grants you a personal, non-exclusive licence to use, print, and share the final delivered images and video for personal, non-commercial purposes.

Corporate clients who need commercial usage rights (e.g. advertising, paid promotion, resale) should agree this with us in writing — it may be subject to an additional licensing fee.

Unless you tell us otherwise in writing before your event, we may use images and footage from your session in our portfolio, on our website, and across our social media for marketing purposes, as shown on our Portfolio page. We will never sell your images to a third party.

08Delivery of Final Images & Video

Edited photos and/or video are typically delivered via an online gallery within 4–6 weeks of a wedding or large event, and within 1–2 weeks for portrait or corporate sessions, unless a different turnaround has been agreed in writing. Raw, unedited files are not provided as standard.

09Liability

We use professional-grade equipment and back up files as standard practice, but we can't guarantee against equipment failure, file corruption, or circumstances beyond our control. In the unlikely event that some or all coverage is lost as a result, our liability is limited to a refund of fees paid for the affected portion of the Service.

Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, or for any other liability that cannot lawfully be excluded under the laws of England and Wales.

10Privacy & Data

Any personal data you give us when booking (e.g. name, email, phone number) is handled in line with our Privacy Policy.

11Complaints

If you're ever unhappy with our service, please get in touch directly so we can put things right — see Section 13 for our details.

12Governing Law

These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

We may update these Terms from time to time. The version published on this page at the time of your booking is the version that applies to it.
